Berkeley Lab’s BioSciences Area Office Division has an opening for a Clerical Assistant I. Provide administrative and scientific support in the office of Distinguished Senior Scientist and assist the Administrator.

What You Will Do:

  • Identify and address all incoming scientific requests and inquiries; Take dictation and copyedit responses.

  • Track and follow through on all incoming requests to review manuscripts or to be editor for manuscripts, as well as monitor the writing and revision process of all laboratory publications for final PI submission; Copyedit as needed.

  • Track and follow through on all upcoming nominations for both PI and scientific colleagues; Copyedit as needed.

  • Track and follow through on all requests for letters of recommendation and support; Copyedit as needed.

  • Update laboratory website.

  • Update PI's CV.

  • Assist the Administrator with travel, reimbursements and membership payments.

Additional Responsibilities as needed:

  • Archive scientific conversations and documentation from former laboratory collaborations.

  • Verify and organize both electronic and physical laboratory publications.

  • Other miscellaneous tasks as needed.

What is Required:

  • Must demonstrated experience using Mac or PC, cloud applications, search engines.

  • Must demonstrated experience using MS Word, MS Excel, MS PowerPoint, and Adobe Acrobat.

  • Must have knowledge of scientific terms (would be helpful since many of the descriptions/verbiage to copyedit or communicate are scientific in nature).

  • Must have organizational skills.

  • Must have excellent written communication skills (for copyediting; role will take many dictations and overall be proofreading PI's verbiage, as well as other people's drafts for final submission; very important to write in active voice, with eloquence, and preferably in PI's style and tone of voice since all final submissions reflect PI and laboratory).

  • Must have excellent oral communication skills (to interact well with scientific professionals, which helps to facilitate the completion of work; important to be able to talk with them and ask questions if needed for help).

  • Must have a process to track and complete work in an orderly way; minimizes tasks that fall through the cracks and closely monitor deadlines

  • Must have the ability to integrate direction and feedback into work performance (PI will give more than enough feedback on what to focus on and how to word things; eventually the role needs to intuitively know PI's priorities and reflect that work performance).

  • Must have the ability to work independently (have varied levels of communication with PI week to week; should be able to search for resources if necessary to learn and complete work with the highest quality).

  • Bachelor's degree preferred, but not required.

The posting shall remain open until the position is filled.

  • This is a temporary, 11 months, limited appointment with the possibility of renewal based upon satisfactory job performance, continuing availability of funds and ongoing operational needs. Cannot exceed 900 hours within a rolling 12-month period.

  • Part-time, enter specific days and hours, non-exempt (hourly paid) from overtime.

  • This position is represented by a union for collective bargaining purposes.

  • Salary will be determined based on range by collective bargaining agreement.

  • This position may be subject to a background check. Any convictions will be evaluated to determine if they directly relate to the responsibilities and requirements of the position. Having a conviction history will not automatically disqualify an applicant from being considered for employment.

  • Work will be primarily performed at West Berkeley Biocenter (Potter St.) — Bldg. 977, 717 Potter St., Berkeley, CA.
