Berkeley Lab has an exciting opportunity for an Administrator in the Diversity, Equity & Inclusion (DEI) Office. Reporting to the Chief DEI Officer, this position provides diverse and advanced-level administrative support and project coordination for important DEI initiatives and programs at Berkeley Lab.


The ideal candidate must be creative in their approach to problem solving and enjoy working in an environment that is mission-driven, results-driven, and community oriented. This individual will have the ability to exercise excellent judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The individual must be able to work independently on projects, from conception to completion, and work effectively and calmly under pressure to handle a wide variety of activities and confidential matters with discretion.

What You Will Do:

Under general direction of the Chief DEI Officer, provide advanced-level administrative and program-level support to the DEI Office team members, including:

  • Serve as the central administrative point of contact for the DEI Office, and independently respond to questions and requests in a timely manner (including DEI email account).

  • Apply advanced-level computer and communications skills and use sound judgment and initiative to effectively anticipate the needs of the team and customers, and provide creative solutions to difficult problems as applicable.  

  • Collaborate with DEI Office team members to provide support as needed to various DEI groups at Berkeley Lab (e.g. Senior Leadership Council, Advisory Board, Task Forces, Employee Resource Groups, and Area/Division DEI committees).

  • Manage logistics for events and meetings, including calendar management, video conference, IT and Facilities support, conference services, food and supply orders, conference rooms, gate passes, parking, etc.

  • Assist with various types of reports, presentations, letters, and memos as needed, including drafting and editing content and formatting, and managing any submissions needed from contributors and collaborators.

  • Assist in adding content to the DEI website and submit announcement requests and Lab calendar items for “Today at Berkeley Lab.”

  • Provide procurement assistance, including vendor contracts, placing orders through ePro and eBuy, and tracking orders to ensure a timely and successful fulfillment of all orders placed.

  • Provide support for travel, including scheduling and reimbursements.

  • Use independent judgment to execute on moderately complex tasks and projects and make decisions or commitments within appropriate bounds and applicable guidelines/timelines.

 

What is Required:

  • Minimum of 4 years of related and specialized high-level administrative experience in support of an executive or executive office, preferably in a corporate or academic environment.

  • Advanced level computer skills and full knowledge of computer systems and software applications, including Google applications and collaboration tools and Microsoft Office suite.

  • Experience partnering and interacting with a broad range of personnel, internal and external to the organization; ability to establish and maintain cooperative and collaborative working relationships with a variety of people at all levels of the organization.

  • Demonstrated ability to comprehend and analyze a variety of advanced-level customer/ operational/ administrative requirements or problems and propose creative alternatives or solutions.

  • Excellent skills in planning, organizing and administering project tasks/activities to accomplish corporate goals.

  • Ability to anticipate gaps and proactively develops effective solutions. Ability to plan for contingencies and to handle unexpected situations often.

  • Demonstrated strong attention to detail and ability to produce quality work with a high degree of accuracy, including proofreading.

  • Advanced level communication and composition skills to communicate effectively in both verbal and written forms in standard business English.

  • Proven ability to effectively and successfully handle various situations with excellent independent judgment, diplomacy, discretion, and confidentiality.

  • Proven ability to operate independently and effectively in an environment of changing priorities and frequent interruptions to ensure completion of projects in a timely manner.

  • Must be able to work extended hours as needed.

  • Valid driver’s license.

Additional Desired Qualifications:

  • Experience with project tracking systems and databases.

  • Experience with updating website content.

  • Passionate about advancing a diverse, equitable, and inclusive organization, and familiarity with DEI-related organizational issues.
