Berkeley Lab’s Office of the Chief Financial Officer (OCFO) is looking for a Senior Administrator to join their dynamic team!


In this role, you will provide executive level support to the Lab’s CFO, Deputy CFO, Field Finance Team, and Business Systems Analysis Team.  Reporting to the Talent and Workplace Services Manager, this position will interact with personnel at all levels both internal and external to the Lab, lead the day-to-day office management, provide support for initiatives, mentor other administrators, and provide solutions to administrative problems of high complexity.


What You Will Do:

  • Provide complex executive level administrative support to the Chief Financial Officer, Deputy Chief Financial Officer, Field Finance Team Managers, and Business Systems Analysis Team.

  • Serve as the main point of contact and manage all aspects of the CFO and Deputy CFO’s schedule, commitments, and travel arrangements using a high degree of confidentiality, discretion, diplomacy and organization.

  • Arrange logistics for on- and off-site meetings and events, such as quarterly all-hands meetings, trainings, peer-reviews, etc.

  • Oversee projects that are often sensitive, confidential, of a complex nature and/or time critical, and will frequently require initiative in gathering information, assembling and analyzing the information, and determining appropriate responses to certain issues.

  • Initiate, plan and oversee the logistical and presentation preparation for office hosted meetings, reviews and events.

  • Provide leadership, guidance, and mentorship to Administrators in the OCFO to increase their effectiveness and abilities in their job roles.

  • Manage the technical and logistical processes of the OCFO’s performance management processes with the highest degree of confidentiality, discretion, and organization.

  • Manage activities related to recruitment and hiring of employees including processing of contract workers and affiliates, onboarding new staff, and conducting new employee orientation.


What is Required:

  • A minimum of 2 years of related and significant experience providing complex administrative/executive assistant support to a C-level (or equivalent) executive.

  • Demonstrated experience managing a C-level executive (or equivalent) daily activities including screening and prioritizing requests, handling urgent/critical matters, scheduling and calendar management, arranging travel, computer issues, etc.

  • Experience arranging and rearranging travel, including interacting with travel agency, hotels and carriers in addition to processing travel approvals and expense statements.

  • Demonstrated experience taking initiative, assuming responsibility, and remaining flexible in a fast-paced environment with competing priorities.

  • Demonstrated capability with Google Apps (Mail, Calendar, Drive) and Microsoft Office applications (Word, Excel PowerPoint) with the ability to produce professional quality, error-free documents, reports and presentations using PC computer applications.

  • Demonstrated expertise in using tele-, web-, and video-conferencing applications including the ability to teach others how to use such applications and quickly learn new technology solutions.

  • Demonstrated interpersonal, written, and verbal communications skills including the ability to interface with all levels of personnel both internal and external to the organization with a high degree of professionalism.

  • Must hold a current and valid CA driver’s license.

  • Must be able to lift items up to 20 lbs.


What We Desire:

  • A Bachelor’s Degree in Business or related field.

  • Five or more years of related and significant experience providing complex administrative/executive assistant support to a C-level (or equivalent) executive.

  • Familiarity with UC, LBNL, and DOE policies and procedures.

  • This is a full time, M-F, exempt from overtime pay (monthly paid), Career appointment.  

  • Salary is commensurate with experience.

  • Typically, work will be primarily performed at: Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA; however, travel occasionally to/from the Office of the Chief Financial Officer (OCFO) — Bldg. 971, 6401 Hollis St., Emeryville, CA is required.
