Berkeley Lab’s Energy Analysis and Environment Impacts (EAEI) Division has an opening for an Administrative Assistant III to join their Operations Team!

In this role, you will provide logistical, administrative, and clerical support including extensive travel management/coordination, calendaring/meeting coordination, publication posting, property tracking and conference reporting.

 

What You Will Do:

  • Function as the group travel coordinator by making frequent and complex domestic and international travel arrangements including accurately preparing travel authorizations, expense statements and travel reports.

  • Process paperwork for Affiliates, Guests, and Foreign Visitors.

  • Onboard all New Hires and Affiliates including office set-up, introductions, and building tours.

  • Process purchase requisitions through the Lab purchasing system.

  • Utilize Google calendar, arrange meetings and manage calendars for group members.

  • Coordinate logistical planning for meetings, conferences and workshops, ensuring all meetings meet policy guidelines.

  • Compile, format, proofread, and prepare accurate, error-free complex technical reports and journal articles.

  • Coordinate shipping, process office supplies orders, track property assets, and place work orders for office related moves and maintenance.


What is Required:

  • A minimum of 6 years of demonstrated administrative experience including coordinating travel, calendaring, meeting logistics, e-mail management, and other related administrative tasks.

  • Excellent written communication skills including demonstrated experience producing high-quality, error-free word processing and document preparation in MS Microsoft Word and PowerPoint.

  • Advanced verbal and interpersonal communication skills with demonstrated ability to provide proactive customer support by anticipating, identifying and resolving routine and complex administrative problems.

  • Excellent organizational skills, including the ability to handle multiple tasks concurrently to meet workload demands and deadlines, to respond quickly and maintain flexibility during periods of changing work priorities and tight time constraints.

  • Proficiency in a variety of software platforms and applications such as: MS Office Suite, Adobe Acrobat Pro, Google applications.


What We Desire:

  • Experience with supporting researchers.

  • Experience in or familiarity with DOE, LBNL or University of California policies and procedures.

  • Valid California Driver’s License.

Notes:

  • This is a full time, M-F, non-exempt from overtime pay (hourly paid), Career appointment.

  • Salary is commensurate with experience.

  • This position is represented by a union for collective bargaining purposes.
