Berkeley Lab’s Building Technology Urban Systems Division has an opening for an Administrator.  The position will provide coordination of administrative and organizational support for moderately complex tasks, supporting one or more research groups and Principal Investigators (PI’s) in the Building Technology and Urban Systems Department. Programmatic support includes stakeholder correspondence, website content development and maintenance, publication tracking and processing and visitor and event coordination.  Key attributes include strong organizational skills, the ability to understand and anticipate the needs, strengths and limitations of different groups, strong communication skills and follow-through and willingness to act independently and proactively within the bounds set by the supervisor and matrix PI’s. Technical skills or experience in the buildings research area are not needed but the ability to develop and adapt organizational procedures to changing circumstances is required.

What You Will Do:

  • Develop and follow procedures, utilize tools, resources and recommendations of the Administrative unit to complete moderately complex tasks to meet administrative needs of the Program's Principal Investigators (PIs).  Ensure that solutions are compliant with Division and Laboratory policy.

  • Coordinate information exchange and shared activities among stakeholders and collaborators.

  • Coordinate group office areas; arrange space, computer and telecommunications support for employees and guests, employee onboarding.

  • Utilize specialized knowledge of operations concepts and practices to develop, organize, collect, and synthesize content for highly professional and technical presentations, reports, publication lists with minimal direction and guidance. Ensure that data is accurate and maintain shared tracking systems.

  • Serving as a point of contact and as appropriate manage outside inquiries and requests regarding information of a complex nature for several programs/project areas within the Department.

  • Exercise discretion and independent judgment to interact effectively and at a high level of professionalism with a variety of individuals from various levels of the organization, DOE and other high-level organizations.

  • Create concise and logical project progress reports as required. Report generation may require a synthesis of data from a variety of sources into a concise summary or conclusion for use by the PIs and/or submission to federal agencies.

  • Oversee maintenance and updates of group or project webpages, ensuring content is up-to-date.

  • Organize events such as meetings, workshops and conferences with collaborators and with funding agencies; oversee all logistics.

  • Utilizing LBNL systems, process travel requests and expense reports, submit requisitions

  • Assist with preparation of grant proposals.

  • Assist with other assignments or special projects, as assigned.

What is Required:

  • BA/BS degree plus one to three years directly relevant experience (or equivalent combination) providing administrative support to a group/multiple stakeholders, including demonstrated ability to take initiative and anticipate, organize and deliver a wide array of administrative support services.

  • Intermediate to advanced capability with Microsoft Word, Excel and PowerPoint and proficiency with common web-based tools Google suite applications (Google Drive, File Stream, Smartsheet) and webinar tools (Zoom, GoTo Meeting).

  • Ability to take initiative, manage and prioritize own work, strong time management skills and ability to multi-task.

  • Professional demeanor, good interpersonal skills and ability to coordinate effectively with others, helping and seeking help as needed – good follow through and open communication.

  • Ability to develop organizational procedures and adapt them to changing circumstances.

  • Strong oral and written communications skills and experience collating, editing and formatting written and presentation materials.

  • Ability to handle sensitive and confidential information.

Additional Desired Qualifications:

  • BA/BS degree.

  • Knowledge of DOE, UC and Division policies, procedures and systems.

  • Experience in a research, academic or similar environment.

  • Full-time, M-F, exempt (monthly paid) from overtime pay.

  • Salary is commensurate with experience.
