Administrator
Lawrence Berkeley National Laboratory’s (LBNL) Engineering Division is hiring an Administrator.
This role supports a wide range of moderately complex administrative functions in a fast-paced environment with shifting priorities. The Administrator will manage calendars, arrange travel, coordinate HR processes, oversee meeting and conference logistics, ensure policy compliance, and lead administrative staff. This position requires sound judgment, discretion, and a solid understanding of Berkeley Lab policies and procedures to effectively support the Division’s day-to-day operations.

You will:
- Act as the primary liaison between Human Resources and Division Management, facilitating routine personnel actions such as recruitment, hiring, terminations, promotions, and affiliate processing.
- Advise supervisors and hiring managers on required processes and documentation; assist with preparing and securing approvals for hire and promotion cases.
- Coordinate the annual performance review process.
- Serve as work lead for administrative support staff, overseeing administrative functions and special projects.
- Draft moderately complex or sensitive correspondence, synthesizing information from multiple sources.
- Serve as the point of contact and provide high-level support to the Engineering Division Director.
- Manage the Director’s calendar, independently scheduling and prioritizing meetings.
- Assess, prioritize, and respond to incoming requests and inquiries, ensuring timely follow-up and resolution.
- Track and proactively plan for recurring processes and key events.
- Use the Lab’s Financial Management System to generate reports and collaborate with the Financial Analyst on transactional support.
- Provide administrative support for proposal development activities.
- Lead planning and execution of complex meetings, reviews, and events—managing logistics, budgets, and compliance with policies and procedures.
- Design and prepare presentations and supporting materials.
- Process requisitions for consultant services and other contract structures, serving as the Division’s subject matter expert.
- Interpret and apply Laboratory policies and procedures related to administrative operations; communicate updates to staff and provide guidance as needed.
- Maintain and update Division website content and social media presence.
We are looking for:
- 2–4 years of relevant experience, or an equivalent combination of education and experience.
- Skilled in analyzing administrative problems, interpreting data, and developing creative, compliant solutions.
- Proficient in spreadsheet design and data management.
- Strong written communication skills, including editing for grammar, clarity, and style.
- Proficient with business and productivity tools (e.g., MS Office, Google Suite, Smartsheet, project management software).
- Experience managing and editing content for social media platforms (e.g., LinkedIn, Facebook, X/Twitter).
- Experience publishing, editing, and curating content for internal websites (e.g., Division homepages).
Desired:
- Bachelor’s degree (BA/BS) and directly relevant professional experience.
- Proven track record of managing budgets and coordinating logistics for mid- to large-scale events such as meetings, reviews, workshops, and conferences.
- Demonstrated experience providing high-level support to executive leadership and large departments.
Additional Information:

- Appointment Type: This is a full-time career appointment, exempt (monthly paid) from overtime pay.
- Salary Range: This position is represented by a union for collective bargaining purposes. Salary will be determined based on range by collective bargaining agreement. The expected salary for the Administrator position is $80,000 - $100,000, which fits into the full salary range of $75,684 - $127,728. Final salary depends upon the candidate’s skills, knowledge, and abilities. This includes education, certifications, and years of experience.
