Berkeley Lab’s Energy Analysis and Environment Impacts (EAEI) Division has an opening for an Administrator to join their Operations Team!

In this role, you will provide administrative and organizational support to the EAEI Division Director, Deputy Division Director of Research, and approximately 40 research professionals.  Reporting to the EAEI Division’s Principal Administrator, this position will serve as the main point of contact for research program logistics, stakeholder correspondence, website content/maintenance, and publication tracking and processing.

 

What You Will Do:

  • Provide day to day administrative and organizational support to the EAEI Division Office including extensive calendaring management, travel management/coordination, and meeting coordination.

  • Serve as a point of contact and, as appropriate, manage outside inquiries and requests regarding information of a complex nature for several project areas.

  • Interface effectively with a variety of individuals from various levels of the organization, outside of the organization, and the Department of Energy (DOE).

  • Organize meetings, workshops and conferences with collaborators and with funding agencies, overseeing all logistics, including processing and tracking visitors.

  • Coordinate procurement services through all stages.

  • Copy edit, format, proofread, and compile scientific and administrative documents to ensure consistency, accuracy, and completeness.

  • Assist with the preparation of presentation materials, grant proposals.

  • Oversee maintenance and updates of group or project webpages, ensuring content is up-to-date.

  • Process complex travel and expense reports.


What is Required:

  • A Bachelor’s Degree and a minimum of 2 years of relevant experience providing administrative support or the equivalent combination of education and experience.

  • Experience coordinating complex calendars and travel arrangements in a corporate or laboratory setting.

  • Experience organizing and planning workshops, large meetings, or conferences.

  • Demonstrated experience taking initiative, assuming responsibility, and remaining flexible in a fast-paced environment with competing priorities.

  • Demonstrated interpersonal and verbal communication skills including the ability to interface with all levels of personnel both internal and external to the organization with a high degree of professionalism.

  • Demonstrated written communication skills including the ability to  produce high-quality, error-free word processing and document preparation.

  • Demonstrated capability with a variety of software platforms and applications including MS Office Suite, Google Apps, and Adobe Acrobat with the ability to produce professional quality, error-free documents, reports and presentations using a Mac or PC computer.


What We Desire:

  • Experience supporting senior level management.

  • Experience in a building design, operation, or research environment.

  • Knowledge of DOE, UC and Division policies, procedures and systems.

Notes:

  • This is a full time, M-F, exempt from overtime pay (monthly paid), 1 year Term appointment with the possibility of extension for a total of 5 years or conversion to Career appointment based upon satisfactory job performance, continuing availability of funds and ongoing operational needs.

  • Salary is commensurate with experience.
