Berkeley Lab’s Energy Technologies Area (ETA) is looking for an Administrator to join their Program Development Office (PDO)!

 

In this role, you will provide a wide variety of complex administrative support to ETA’s Program Development Office using a high degree of independent judgment, initiative, and discretion. This role will provide the PDO Leader and staff with email and calendar management, stakeholder correspondence, meeting and project coordination, agenda and document preparation, proposal coordination, tracking, and reporting.

 

What You Will Do:

  • Provide a wide variety of complex administrative support including email and calendar management, stakeholder correspondence, meeting and project coordination, agenda and document preparation, proposal coordination, tracking, and reporting.
  • Serve as PDO’s liaison to internal/external stakeholders, exercising a high degree of confidentiality, discretion, and professionalism.
  • Serve as PDO’s Administrator for the Lab’s Contact Management System (Salesforce), providing data oversight, adding/updating contacts, accounts, funding opportunities, proposals, and projects.
  • Coordinate logistics for meetings, events, and strategic programmatic activities including dates, locations, invites, audio/visual arrangements, web conferencing, agenda, presentation materials, etc.
  • Assist with the preparation of complex scientific, non-scientific, and technical reports, presentation materials, and documents on behalf of PDO management and staff.
  • Manage all tracking of subcontracts and purchase orders, including requests, payments, billing, etc.

 

What is Required:

  • A Bachelor’s Degree (or equivalent knowledge) and a minimum of 3 years of directly relevant complex administrative support including email and calendar management, scheduling, meeting planning, and project coordination, tracking and data management, and report generation in a research, academic, or large/complex organization or the equivalent combination of education and experience.
  • Excellent planning and organizational skills in both a physical and virtual environment, including the ability to handle multiple tasks concurrently to meet workload demands and deadlines, to respond quickly, and maintain flexibility during periods of changing work priorities and tight time constraints.
  • Significant experience using a variety of cloud-based software platforms and applications including MS Office Suite, Google Apps Suite, Adobe Acrobat, and web conference platform Zoom and/or Google Meet on a Mac or PC computer.
  • Demonstrated written communication skills including experience producing professional high-quality, error-free documents, reports, and presentations.
  • Excellent verbal and interpersonal communication skills including demonstrated experience interfacing with all levels of personnel both internal and external to an organization with a high degree of professionalism, discretion, and confidentiality.

 

What We Prefer:

  • Familiarity with Salesforce or similar customer relationship management system.
  • Knowledge of Berkeley Lab (LBNL), the University of California (UC), and the Department of Energy (DOE) policies, procedures, and systems.
  • Valid California Driver's License.

Notes:

  • This is a full-time, exempt from overtime pay (monthly paid), 1 year, Term appointment with the possibility of renewal for up to 5 years total or conversion to Career appointment based upon satisfactory job performance, continuing availability of funds, and ongoing operational needs.
  • Salary is commensurate with experience.

  • Due to COVID-19, this role may initially be performed remotely, but limited to individuals who can reside in the United States. Once the Bay Area shelter-in-place restrictions are lifted, work may be performed at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA.
