The Scientific Networking Division (SND) has an immediate opening for a dynamic and well-organized Administrator. In this role you will develop, manage and coordinate a broad range of specialized operational, business services and administrative support for the Division and Division Leadership. This critical role will be the central point of contact for all administrative requests and support the Scientific Networking Division with a great deal of autonomy and independence, including the Scientific Networking Leadership Team. 

 

The Administrator will proactively support the division’s operational needs and objectives to ensure effective and efficient administrative operations. The Administrator will be required to exercise independent judgment, initiative, and professionalism to anticipate workload demands, deadlines, potential problems and identify solutions to meet customer needs. What You Will Do:

  • Perform as a member of the administrative team that provides direct support to the scientific networking management and personnel to triage a broad range of moderately complex, unique and sometimes sensitive Division issues to meet institutional goals and initiatives on time and budget.

  • Provide direct day-to-day administrative support to the division by maintaining calendars and coordination of calls and meetings.

  • Primary coordinator for the On- and Off-Boarding of ESnet Staff, Students and Affiliates

  • Serve as the ergo advocate for the division and help perform or coordinate ergo assessments for onsite and remote staff.

  • Serve as a single point for communication for division-wide events as assigned.

  • As back-up to travel coordinator, provide travel support in the form of travel and itinerary planning, submitting foreign travel authorizations and requests for travel reimbursements.

  • As part of your administrative role, interact with Senior Laboratory management, Department of Energy (DOE) Headquarters, funding agencies and officials in other external organizations to coordinate meetings or responses to requests.

  • Coordinate requirements and logistics for collaborative and high-level meetings. Working with other administrative staff, initiate, plan and oversee the logistics for hosted meetings. This includes communicating directly with the attendees, presenters, management and staff regarding logistics, presentation deadlines, and other details.

  • Review, organize, edit, format, and develop powerpoint slides for Lab, DOE and external presentations.


Essential Qualifications:

  • A minimum of five (5) years of substantial to advanced relevant operational, program management, or administrative knowledge and experience with a broad spectrum of operational and programmatic support services.

  • Demonstrated administrative experience supporting senior level management, sensitive/confidential items as appropriate and related activities to meet program and business/operational needs.

  • Experience with planning high level and/or large meetings, to include logistics, catering and correspondence.

  • Effective time management and organizational skills including the ability to juggle multiple competing demands and independently prioritize administrative issues. 

  • Significant experience in managing a full spectrum of complex itinerary planning for changing travel, calendar and meeting arrangements for a Leadership Team.

  • Excellent composition and language skills with the ability to compose complex and/or sensitive business correspondence, edit material, and proofread other’s work.

  • Advanced experience with computers and technical skills using Microsoft Office and Google Suite including drive, documents, survey, and web browsing programs.

  • Ability to occasionally do light lifting (10-20 lbs.).

 

Desired Qualifications:

  • Bachelor’s degree is preferred.

  • Knowledge of Berkeley Lab and DOE policies impacting procurement and administrative responsibilities.

  • This is a full-time career appointment, exempt (monthly paid) from overtime pay.
