Berkeley Lab’s Environment, Health, & Safety Division (EHS) has an opening for a Part Time Administrator to join their Operations Team!

 

In this role, you will primarily provide procurement contract management support, in addition to space planning and event support.  Reporting to the EHS Principal Supervisor of Administrative Services, you will manage purchases and complex contracts for 100-120 subcontracts ranging from equipment purchases to professional services.

 

Please note, this is a part time, 50-75%, exempt from overtime pay (monthly paid), career appointment.  This role will typically operate Monday - Friday from 9:00 am to 3:00 pm at our main site located at 1 Cyclotron Road, Berkeley, CA 94720.   

 

What You Will Do:

  • Provide Procurement Coordinator support including administering the life cycle of a procurement portfolio consisting of 100-120 contracts from inception of requisition submittal through multiple modifications, and over multiple years.

  • Create concise and logical reports reflecting the status of procurement and contract renewals, develop and analyze purchasing forecasts, and maintain files. 

  • Facilitate the coordination of procurement activities between the Lab’s Procurement Department/Buyers and the EHS group leaders and SMEs. 

  • Proactively and collaboratively engage with managers, administrative, and technical staff and utilize available resources to ensure optimal efficiency and effectiveness of assigned tasks.

  • Provide Space Coordinator support including new hire on-boarding, office and furniture moves, and space metrics validation reporting.

  • Provide Event Coordinator support including summer and holiday gatherings, strategic planning meetings, and all hands meetings.

 

What is Required:

  • A minimum of 4 years of experience in coordinating procurement (subcontract and purchase order) activities within a medium-sized division or department environment.

  • Excellent analytical and financial acumen including basic accounting skills.

  • Demonstrated computer skills including working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint), Google Applications, (Gmail, Calendar, Docs, Drive), and an electronic procurement system.

  • Strong oral, written, and interpersonal communication skills to effectively and diplomatically interact with a variety of personnel of all levels both internal and external to the Laboratory.

  • Excellent organizational skills and strong attention to detail with the ability to create accurate reports and complete tasks in a timely manner.


What We Desire:

  • Bachelor’s Degree.

  • Familiarity with LBNL policies, standards, practices, and systems (FMS, Cognos).

Notes:

  • This is a part time, 50-75%, exempt from overtime pay (monthly paid), career appointment.

  • Work will be performed Monday - Friday from 9:00 am to 3:00 pm at our main site located at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA.

  • Salary Range: $72,000 - $78,000 annually.
