Berkeley Lab has an opening for a Program Administrator in the Site Security Organization. Reporting to the Chief of Site Security, this position will develop, manage and coordinate a broad range of specialized business, program management, and administrative support services to the Site Security organization. As a highly resourceful team player, the ideal candidate will apply their initiative and judgment in accomplishing effective resolution of complex assignments in a dynamic, fast‐paced, and demanding environment with rapidly changing priorities.  This is a new position in a new organization giving the incumbent a unique opportunity to help shape the position based on their own attributes, competencies, and areas of interest.  


What You Will Do:

  • Support the Site Security management team to ensure efficient and effective operation of the Site Security business unit, and aiding in compliance with complex Department of Energy program requirements. 

  • Provide program support, including updating program management reports and dashboards, and tracking progress of open and ongoing initiatives and actions.

  • Provide a wide array of administrative support, including supply tracking; meeting, travel and event coordination; claim processing; and other required business services.

  • Serve as content manager for the Site Security webpage to ensure constant improvement to functionality, usability, and content.

  • Provide procurement assistance for vendor contracts, place and track orders to ensure a timely and successful fulfillment and uninterrupted business services.

  • Prepare and edit correspondence on behalf of the management team, including composing and updating technical and periodic reports, tracking tools and presentations.

  • Act as a member of the LNBL Emergency Response Organization.


What is Required:

  • Bachelors’ degree and a minimum of 2 years of relevant experience, or combination of education and experience. 

  • Valid driver’s license. 

  • Demonstrated experience with technical programs and systems related to essential duties to include electronic information management systems and databases.

  • Ability to understand complex program requirements and apply project management skills to effectively manage Division issues and initiatives.

  • Ability to communicate exceptionally well both verbally and in writing to diverse audiences as well as collating, editing and formatting written and presentation materials.  

  • Ability to apply policies, procedures and business practices in operational areas of responsibility such as travel, procurement, personnel, event coordination and document preparation and submission.

  • Advanced proficiency with Mac and/or PC and associated software, including ability to word process rapidly and accurately, create and maintain spreadsheets and computer graphics. Knowledge of MS Office is essential. 


Additional Desired Qualifications:

  • 4+ years of relevant experience, with project tracking systems and databases, project management software and tools (e.g., Gannt charts) and/or updating website content.

  • Advanced knowledge of MS Office, databases and systems.

  • Knowledge of Lawrence Berkeley National Laboratory (LBNL) and/or UC policies and procedures and internal systems.
