Lawrence Berkeley National Lab’s (LBNL) BioSciences Area Office has an opening for a Biosciences Area Administrator to join the team.


In this exciting role, you will provide a full range of moderately difficult to complex technical and administrative duties in support of the Environmental Genomics and System Biology (EGSB) Division Director. Your responsibilities include independently coordinating and implementing a wide range of activities including creating technical solutions to EGSB needs and event coordination. You will provide direct day-to-day administrative support to the EGSB Division Director including but not limited to calendaring, travel, and travel reimbursements. You will help interpret policy, formulate recommendations, and implement guidelines.



What You Will Do:

  • Provide direct day-to-day administrative support to the EGSB Division Director. Maintain calendar and set-up,  and coordination of calls and meetings. 
  • Complete complex travel and travel reimbursements. 
  • In direct support of the Division Director and the EGSB team, triage a broad range of moderately complex, unique, and sometimes sensitive Division issues; decide on a course of action and formulate recommendations and/or identify and route to the appropriate resources.
  • Proactively work with Division colleagues to create and/or deploy technical solutions to Division needs, including but not limited to survey creation and execution, website content maintenance, database creation, and videoconference set-up.
  • Respond to and ensure effective communication between the Division Director, Division Leadership team, and a broad range of individuals within the National Laboratories, UC campuses, and external organizations.
  • Compose, draft, edit and prepare communications on behalf of the Division Director and Division Leadership team, including sensitive or strictly confidential items as appropriate including technical reports and presentations using appropriate computer applications.
  • Coordinate a full range of events such as meetings, reviews, seminars, and retreats.
  • Analyze emerging work demands, independently determine scheduling priorities, and develop systems and solutions to effectively complete work.
  • Manage purchases of office equipment.
  • Will work at a high level of independence and responsibilities in carrying out assignments.
  • Exercise creative problem solving, critical thinking, initiative, and judgment in triaging unusual or exceptional situations with minimal supervision in a dynamic, often pressured environment.
  • Serve as a point of contact and as appropriate manage outside inquiries and requests regarding information of a complex nature.
  • Provide administrative support for EGSB projects and researchers by serving as a point of contact for operational, administrative, and/or programmatic issues.
  • Interact with internal and external personnel on significant issues requiring coordination across organizational lines, including LBNL management, and collaborating institutions. Exercise leadership and communicate effectively and diplomatically with all levels of management and scientific staff among EGSB, LBNL, and external institutions.
  • Responsible for various special projects requiring independent research and analysis.
  • Apply analytical skills to develop and recommend solutions to routine to moderately complex, non-routine problems.
  • Responsible for ensuring legal requirements for archiving documents for the Division are understood and implemented per the appropriate applicable policies and procedures.



Additional Responsibilities as needed:

  • Work with Area Sr. Administrator on projects in support of the Biosciences Area overall.
  • Work collaboratively with other staff to design and create templates, forms, websites, and other forms of media for operations websites for Biosciences Operations at Berkeley.
  • Collaborate with administrative leadership to continuously improve workflow and administrative management of the Area.



What is Required:

  • 2 to 6 years related professional experience supporting senior level management.
  • Extensive experience interacting diplomatically and professionally with internal and external customers. 
  • Experience coordinating complex calendars and travel arrangements. 
  • Ability to troubleshoot problems of advanced complexity and recommend the appropriate course of action.
  • Ability to apply initiative and judgment in resolving problems where the impact of error-risk.
  • Effective organizational and planning skills sufficient to independently establish priorities.
  • Effective communication and interpersonal skills are necessary to use tact, diplomacy, and discretion when dealing with sensitive issues and the ability to work in a diverse team environment. 
  • Effective written composition skills are necessary to prepare correspondence and administrative reports that are concise, logical, and grammatically correct and experience in editing the work of others. 
  • Strong analytical skills to evaluate and identify problems and provide sound solutions or alternatives. 
  • Ability to exercise independent authority for the successful completion of all duties. 
  • Demonstrated capability handling multiple, moderately complex to difficult tasks with changing priorities.
  • Advanced level computer skills including familiarity with Google applications, Salesforce and websites.  Substantial experience with standard office software programs such as MS Office suite; proficient at using email. 



Desired Qualifications:

  • Bachelor’s degree in business administration or related field.
