Berkeley Lab’s Molecular Foundry Division has an immediate opening for a Program Administrator

to join the team. As an Administrator, you will manage and execute a variety of services within Molecular Foundry’s User Program including fielding user inquiries; managing proposal intakes, facilitating user access; organizing user meetings and conferences; generating and reporting User Program statistics; and assisting with program development and outreach to potential users. As a highly resourceful team player, the ideal candidate will apply their initiative and judgment in effective resolution of complex situations in a dynamic, multiple-priority driven and demanding environment.


The Molecular Foundry is a Department of Energy-funded nanoscience research facility that provides users from around the world with access to cutting-edge expertise and instrumentation in a collaborative, multidisciplinary environment. Users come to the Foundry to perform multidisciplinary research beyond the scope of an individual’s own laboratory. By taking advantage of the Foundry’s broad spectrum of core capabilities and expertise, users increase the scope, technical depth, and impact of their research. 


What You Will Do:

  • Provide specialized program support for the User Program. 

  • Manage proposals as they move through project lifecycle (submission, review, execution, and closure); field inquiries from prospective and current users, coordinate user contact with Foundry staff; and facilitate user access. 

  • Assist User Program Director with proposal call and review process; includes overseeing logistics of Proposal Review Board meetings. 

  • Contribute to ongoing development of the User Program. Identify, document and re-engineer User Program operations and processes to improve efficiency and effectiveness. 

  • Organize and manage the logistics of the Molecular Foundry Annual Users’ Meeting, including assisting the Users Executive Committee in organizing workshops and speakers, recruiting and coordinating with sponsors, and coordinating meeting website, advertisements and media.

  • Oversee the execution of User Agreement contracts.

  • Support User Program Director in completing data requests and preparing reports for LBL, DOE or others.

  • Interact with a variety of entities internal and external to LBNL. 

  • Ability to occasionally work after hours as required to carry out the responsibilities of the position.


What is Required: 

  • Bachelor's degree and a minimum of 2 years related experience or equivalent experience.

  • Excellent written and verbal communication skills.

  • Demonstrated experience with project coordination, data management, meeting and event coordination.

  • Effective time management and organizational skills including ability to juggle multiple competing demands and independently prioritize administrative issues.

  • Experience with development, organization and preparation of meeting materials, reports, and coordination of administrative processes.

  • Ability to maintain and promote a high degree of professionalism, discretion, and ethics in a work environment.

  • Ability to apply initiative and exercise sound judgment to resolve problems while interacting effectively with a variety of individuals and organizations.

  • Ability to develop and implement creative solutions to a variety of problems; suggest process improvements and new ways of providing excellent internal and external cost-effective customer service.

  • Proficiency with standard office software (e.g. MS Word, PowerPoint, Excel and Adobe Acrobat) and collaborative software (e.g. Dropbox and Google Documents). 

  • Demonstrated initiative to learn and implement new technologies and software.


Additional Desired Qualifications:

  • Experience with publication database software such as Endnote or Papers, and familiarity with scientific literature surveys and academic journals highly desirable.

  • Working knowledge of Berkeley Lab procedures and systems (e.g. travel and financial systems).

  • Experience working in an academic research setting.

  • Intermediate capability in web content management.

  • Experience with Adobe Acrobat and calendaring and scheduling software. Knowledge of Google applications, email, and calendaring functions.
